How to facilitate site monitoring for your operators?
The use of paper forms can represent an issue for data collection during site monitoring.
Ermeo supports your field operators on the move, from the execution of the works to the delivery of the works.

How to set up site monitoring on Ermeo?
Below, we will show you the method to use to set up site monitoring on Ermeo.
Our example: Let us imagine a field operator having to fill out a visit sheet after the execution of his work on a site.
1. He will first choose the construction site in which he is located.
2. He will then obtain information on this site. He will then declare the name of the people present on the construction site.
3. He will declare all the material and equipment used during the execution of the work.
4. Finally, he will be able to declare a site anomaly, if he encounters non-conformities.
Here is the list of steps to be implemented on Ermeo to set up equipment referencing:
1. Create a Sites database making it possible to list all the sites on which operators can intervene.
2. Create a Site Anomalies database. All the non-conformities declared by the operators will be found in this database.
3. Create the form allowing operators to carry out site monitoring.
Step 1: Have a Sites database to identify the sites on which operators can intervene
In this step, it is necessary to create a database making it possible to list all the sites (which will be called Sites). Each of the sites will be described by the following attributes:
- Customer Contact (Text)
- GPS coordinates (GPS coordinates)
- Customer email (Email)
- Customer Name (Text)
- Photo (Image)
- Site Address (Text)
- Agency website (Text)
- Site Access instructions (Text)
- Site Contact (Action)
- Customer's phone number (Phone number)
Ermeo gives you the possibility to create resources in bulk in a database using imports.
The import file used to create the sites in our example is attached to this article.
Your database will therefore be made up of different sites. Here is the end result in our case. :
Step 2: Create a Site Anomalies database
In this step, we are going to create a new database called "Site Anomalies". This database will make it possible to identify all the non-conformities and will be described by the attributes:
- Creation date Anomaly (Date)
- Degree of urgency (Multiple Choice)
- Description of the Anomaly (Long Text)
- Identified by (Text)
- Photo of the anomaly (Image)
- Status of the anomaly (Multiple Choices)
Each anomaly declared will therefore be described by a creation date, a description, a status, a photo and a criticality.

Step 3: Create the form used to carry out site monitoring
As a reminder, the form created will allow the operator to perform the following steps:
1. He will first choose the construction site in which he is located.
2. He will then obtain information on this site. He will then declare the name of the people present on the site.
3. He will declare all the material and equipment used during the execution of the work.
4. Finally, he will be able to declare a site anomaly, if he encounters non-conformities. This non-conformity will be recorded in the Site Anomalies database.
At the start of the form, the operator will therefore select an asset as the main asset for the job. This resource will be a construction site.
Subsequently, he can declare anomalies. The declared anomalies will automatically have as their parent the site in which the operator is located. The non-conformities will thus be linked to a site.
Step 3.1 Creation of the form and loading of site information
1. Create a new form and name it "Visit sheet"
2. In the editing studio, drag and drop a Section widget and name it "General Information"
3. Inside this widget, drag and drop an Text widget. Name the "Address" and link to the "Site Address" attribute of the Sites database.
4. Inside the Section widget, Drag and drop a Text widget and name the "Customer Contact". Link this widget with the "Customer Contact" attribute of the Sites database.
Step 3.2 Declaration of the equipment used and the people present on the site
1. Drag and drop a Repeatable Section widget. Name this widget "Materials and equipment".
2. Within the Repeatable Section widget, drag and drop a Multiple Choice widget. Name this widget "Type of equipment". Fill in values such as "Helmet", "Protective vest" or "Safety pad"
3 Still within the Repeatable Section brick, drag and drop a Text brick. Name the "Note"
4. Drag and drop another Repeatable Section brick. Name the "Persons present".
5. Within the "People present" brick, drag and drop a Text brick. Name the "Name and Surname"
6. Still within the "People present" brick, drag and drop a Text brick. Name the Mail.
Step 3.3 Declaration of non-conformities present on the site
1. Drag and drop a Creation widget. Name it "Declare a site anomaly". In the widget options, choose Database is "Site Anomalies".
2. Within the Creation widget, drag and drop a Text widget. Name the "Declarant".
2.1 In the default value, enter the tags "User name" and "User first name".
2.2 Link this widget to the "Identified by" attribute of the "Site Anomalies" database.
3. Still within the Creation widget, drag and drop a Date widget . Name it "Date of the issue" and link it to the "Date of creation of the anomaly" attribute of the Site Anomalies database.
4. Still within the Creation widget, drag and drop a Photo widget. Name the "Illustration of the site anomaly" and link it to the "Photo of the anomaly" attribute.
5. Publish your form then launch it from the webapp or the mobile application.
6. Choose a site at the start of the intervention. Check the site information.
7. Provide information on the assets used and the people present.
8. Declare one or more non-conformities then end the intervention.
9. Congratulations! Your non-conformities are now visible in the "Site Anomalies" database.
It is also possible to customize the name of the anomalies created.
Conclusion: After declaring non-conformities, you can follow these non-conformities over time using PowerBI dashboards.
